Training

Training has become a vital part of our business.  Our users must know how to use the system to it’s fullest, so we have implemented training modules to cover all aspects of the system from basic input to advanced management.  On completion of a module, the user is issued with a certificate.

Basic TeamWork training module 1

This first training module covers the absolute basic TeamWork system training.  It is designed to give an understanding of the system and sufficient knowledge to be able to input basic data.  The panelshop owner MUST complete the OWNER’S training module before anybody may begin this module.

  • System Overview

  • New DR : Name/addr pg, Quote pg, Totals pg, Rates/Dsc (how to give a discount and parts markup), Notes pg (notes), Dates pg, Towing Pg, Printing pg (Print the quote and Towing slip)

  • Select DR

  • Convert to RO

  • Review RO : Name/Addr Pg (insurance details), Quote Pg (change quote for assessor/ho to enter Extras), Totals Pg (excess details), Printing Pg (Check in list/Job Card/Parts list)

Basic TeamWork training module 2

This second training module builds on the training covered in the first module. It is designed to give a greater understanding of the system.  The first module MUST be completed before this one begins.

  • New DR : Name/Addr pg (Come Back AND Internal Work) , Rates pg (how to change the rates per DR file), Photos pg Scans Pg, Printing Pg (Correspondence/photos), Audatex
  • RO : How to write off a vehicle, Printing (Check in list/ Quote authorisation / extras / quality control, release note, guarantee, excess invoice and insurance invoice)
  • Notes pg – General Files Bin

Parts Ordering training module

The Parts Ordering training module builds on the training covered in the first module. It is designed to give a parts manager a greater understanding of the system.  The first module MUST be completed before this one begins.

  • Overview
  • Ordering Parts : Quantity/Date/Supplier/B/O, Printing order / email order, Backorder report
  • Receiving parts : Print labels, B/O, Rec date/ Retail pricing, Costing, RFC
  • Paper work flow

Customer Relations training module

This Customer Relations training module builds on the training covered in the TeamWork basic training module 1. It is designed to give a Customer Relations manager a greater understanding of how the system interfaces with customers.  TeamWork basic training module 1 MUST be completed before this one begins.

  • SMS functions

  • Collecting important customer info

  • Correspondence

  • Booking in

  • Management Reports (Vehicles Sched in and out/Vehicles not authorised / Vehicles on site)

  • Progress reports (how to SMS)

  • Using Notes

  • Using RemindX

  • Photos

  • Daily planning reports

  • Releasing a vehicle

  • Follow up and CSI

Debtors training module

TeamWork basic training module 1  AND 2 must be completed before the Debtors training module can begin.

  • Understanding how the TeamWork Debtors system operates

  • Setting up the Debtors functions – Insurers & Repeat Customers

  • Invoicing

  • Closed ROs

  • Receive payments / passing credit notes

  • Financial Passwords

  • Reports and Audit Trails

Creditors training module

TeamWork basic training module 1  AND 2 must be completed before the Creditors training module can begin.  It is advisable to complete the Parts Ordering module as well

  • Understanding how the TeamWork Creditors system operates

  • Ledger codes

  • Invoices, RFC, Credit notes and cheques : Capture/Edit

  • Printing remittances

  • RFC account

  • Reports and Audit trails

  • Interface with the TeamWork Repair Orders for costing.

Basic Management

The basic Management module follows the Basic Training module 1 and 2 as well as the Parts Ordering modules.  All three MUST be completed before starting this module.

  • Overview
  • Management Reports : Work in progress (Sales), Parts on backorder, Parts on open ROs, List of DRs, List of Closed ROs, List of Converted ROs, List of open ROs with Parts Problems, List of Open ROs which are comebacks, Vehicles Scheduled in AND out, Vehicles Authorised and NOT authorised, Vehicles on site, Estimators Reports, Assessor Reports Manufacturer Reports
  • Daily Planning : How to use it effectively

Intermediate Management

The Intermediate management module follows on from the Basic Management module which MUST be completed

  • Overview
  • Parts Controls : Ordering/Backorders/Receiving/Price differences/Parts Costing
  • Before Releasing a vehicle : Check costing/extras
  • Insurance Audits

Advanced Management

The Advanced Management module follow on from the Intermediate module which MUST be completed

  • Overview
  • Gross Profit : Projecting a GP / Costing Paint, Labour and supplies to a job / Actual GP
  • Reports and Analysis tools : Work in progress (Cost) / Gross Profit (Global) / Expected Sales / Sales report per insurer and broker
  • Increasing sales : Using the DR list and the Expected Sales report
  • Customer Relations : Must attend the Customer Relations training module
  • Security : Passwords and how to use them effectively
